Beechbrook Capital LLP is the data controller responsible for the personal data you provide when you apply for finance through this portal. Eastmeare Financing Ltd (company number 17247429) is an Appointed Representative of Beechbrook Capital LLP.

1. Who we are

2. What data we collect

  • Identity and contact details — your name, email address, the company you represent, and the company’s Companies House registration number.
  • Financial information — the financial details you submit as part of your application (for example turnover, EBITDA, existing debt, and other figures relevant to assessing a finance application).
  • Identity-verification and “know your customer” documents — identity documents, proof of address, payslips, and bank statements that you upload or that are collected to verify your identity and meet our anti-money-laundering obligations.
  • Application correspondence — messages exchanged with us through the portal, and records of consents you give.
  • Technical data — limited information needed to operate the portal securely (for example, the time you submit information and the network address used), used for security and fraud-prevention purposes.

3. Where we get your data from

Most of the data we hold comes directly from you. We also obtain or generate data from the following sources:

  • Companies House — publicly available company information to supplement and verify the details of the business you represent.
  • Steward AI — our identity-verification and anti-money-laundering checking provider, which verifies the identity documents you provide and carries out related checks.

4. Why we use your data, and our legal basis

We use your personal data for the following purposes:

  • Assessing your finance application — reviewing the information and documents you submit to decide whether to offer finance. Lawful basis: steps taken at your request prior to entering a contract (Article 6(1)(b)).
  • Verifying your identity and meeting anti-money-laundering duties — identity checks, KYC document checks, and screening required by law. Lawful basis: legal obligation (Article 6(1)(c)).
  • Keeping records and meeting regulatory duties — retaining application and decision records as required by the FCA and money-laundering rules. Lawful basis: legal obligation (Article 6(1)(c)) and our legitimate interests (Article 6(1)(f)).
  • Operating the portal securely and preventing fraud — security monitoring, fraud checks, and protecting our systems. Lawful basis: legitimate interests (Article 6(1)(f)).
  • Communicating with you about your application — sending application-related messages and updates. Lawful basis: steps prior to contract (Article 6(1)(b)) and legitimate interests (Article 6(1)(f)).

Some identity-verification and anti-money-laundering checks may involve special-category or criminal-offence data. Where they do, we process that data under the conditions permitted by law for the prevention of fraud and money laundering.

5. Who we share your data with

  • Steward AI — our identity-verification and AML provider, acting under a data-processing agreement.
  • Our cloud and software providers — Microsoft Azure (hosting, in the UK) and our email provider (for sending application-related emails), acting under data-processing agreements.
  • Our professional advisers, auditors, and regulators — where required to meet our legal and regulatory obligations (including the FCA and, where applicable, law-enforcement or anti-fraud bodies).

We do not sell your data, and we do not share it for marketing purposes.

6. International transfers

Your data is primarily stored and processed in the United Kingdom. Some of our service providers may process limited data outside the UK; where they do, we ensure appropriate safeguards are in place (such as UK-approved standard contractual clauses or an adequacy decision).

7. How long we keep your data

How long we keep your application data depends on the outcome of your application. In summary: applications that are abandoned before submission are deleted after a short period; applications that are submitted but do not proceed are kept for a limited period to evidence our decision and meet legal duties; and where you become a borrower, records are kept for the longer periods required by financial-services and anti-money-laundering law.

8. Your rights

You have the right to ask us to:

  • give you a copy of your data (access);
  • correct inaccurate data (rectification);
  • delete your data (erasure) in certain circumstances;
  • restrict or object to how we use it; and
  • provide your data in a portable format (portability).

9. Automated decision-making

We may use software to help assess and prioritise applications, including AI-assisted analysis of the information you provide. Final decisions about whether to offer you finance are made by our staff, not by software alone.
